The Inbox Triage System Every Executive Assistant Should Master

Managing an executive inbox is a judgement skill, not a sorting skill. Here is a repeatable system.

5 min read

Four buckets, no more

Act (you handle it), Answer (the executive must reply), Awareness (read only), Archive. Every message goes into one of the four within minutes of arriving.

Draft, don't ask

Instead of asking 'How would you like me to respond?', write the reply you believe is right and put it in drafts. Over a few weeks your executive stops editing and starts approving — which is when you have earned real leverage.

Close the loop

Maintain a short waiting-on list of every commitment made by others and follow up on a fixed rhythm. Nothing builds trust faster than being the person who never lets a thread die.
